1. Introduction

This PAIA Manual has been prepared in accordance with the Promotion of Access to Information Act, 2000 (Act 2 of 2000) (“PAIA”) to facilitate access to records held by Timeless Technologies (Pty) Ltd (“Timeless Technologies” or “the Company”).

Timeless Technologies is committed to conducting its operations with transparency, accountability, and integrity, while ensuring that personal and confidential information is protected in compliance with the Protection of Personal Information Act (“POPIA”).

3. Description of Records Held

Company records: Operations, management and administration records.

Personnel records: Employee details, contracts, payroll, leave records and attendance.

Client records: Quotations and service proposals,agreements and contractual documentation, billing and financial records, project and operational documentation.

Supplier Records: Contracts, invoices, quotations.

Communication Records: Internal and external communications including emails, correspondence, meeting notes, and customer support interactions.

Technical and Security Records: Records relating to security solutions, technical support and product-related documentation.

Product and Service Records: Documentation relating to products supplied, installations completed, warranties, technical specifications, and service history.

Other Operational Records: Internal policies, standard operating procedures, correspondence.

Product and Service Records: Product supplied, warranties and technical specifications. 

 

Records may be held in the following formats:

  • Electronic format: Cloud-based storage systems, email platforms, applicable software systems, backup files, archived digital records, electronic documents, and spreadsheets.

  • Paper format: Quotations, invoices, signed agreements, contracts, personnel records, and correspondence files.

4. Request Procedures

​Anyone wishing to access records must submit a written request to the Information Officer.

Requirements of a request:

  • Full name and contact details of the requester.

  • Proof of capacity to act on behalf of another person (if applicable).

  • Particular description of the record(s) requested.

  • Form of access required (e.g., inspection, electronic copy, printed copy).

  • Any fees required for processing (see Section 5) in guide.

Response time: Timeless Technologies will respond within 30 days as per PAIA Section 53(1).

5. Fees

  • A request is free unless copying or extensive processing is required.

  • Fees may include:

    • Photocopying or printing costs

    • Postage or courier fees

    • Searching and preparation fees (if excessive)

  • A detailed fee schedule will be provided upon request.

6. Grounds for Refusal

Access may be refused in certain circumstances, including where:

  • Disclosure would violate the privacy or confidentiality rights of a third party.

  • Information is legally privileged.

  • Disclosure would compromise commercial information or intellectual property.

  • Disclosure is prohibited by law.

Exemptions are applied in line with PAIA Sections 46–49.

7. Appeals

If a request is refused, partially or fully, the requester may:

  • Submit an internal appeal to the Information Officer within 30 days.

  • Lodge an external appeal with the South African Information Regulator.

8. Access Availability

This PAIA Manual is available to members of the public on our website in a summarised format here.

9. Updates

This manual will be updated whenever necessary to reflect changes in the information held, company structure, or legislative requirements.
